All data subjects whose personal data is collected are in line with the requirements of the GDPR.

2.1 The [Data Protection Officer (DPO)] / [GDPR Owner] is responsible for ensuring that this notice is made available to data subjects prior to Silverfox DCC Model Railway Club collecting/processing their personal data.


2.2 All Members of Silverfox DCC MRC who interact with data subjects are responsible for ensuring that this notice is drawn to the data subject’s attention and their consent to the processing of their data is secured.


3. Privacy notice


3.1 We are a Model Railway Club based in Wolverton, Milton Keynes. We run a yearly Model Railway Exhibition and provide a meeting place for club members.

The personal data we would like to collect from you is:


Personal data type: Source where Silverfox DCC MRC obtained the personal data from if it has not been collected directly from you,  the data subject. Note if the personal data has been accessed from publicly accessible sources):

Name, Email address ,Telephone Number, Directly from members by filling in Use of Data Consent Form – Members or when applying to join the club

Postal Address, Receiving Information

By consenting to this privacy notice you are giving us permission to process your personal data specifically for the purposes identified.


Consent is required for Silverfox DCC MRC to process both types of personal data, but it must be explicitly given. Where we are asking you for sensitive personal data we will always tell you why and how the information will be used.


You may withdraw consent at any time by sending an email to the Club Chairman, ghomersley@aol.com


3.2 Disclosure


Silverfox DCC MRC will not pass on your personal data to third parties.


3.3 Retention period


Silverfox DCC MRC will process personal data for as long as you are a club member and will store your personal data. When you permanently leave the club your data will be retained for a period of 30 days from the date of your resignation and then deleted except that we may keep some of your information suitably anonymised as required by law for accounting, taxation or other legal purposes.


If you are enquiring about joining the club or about attending an exhibition as a visitor we will respond to you and keep your information for 30 days. If we have not heard further from you at the end of that period we will delete your data. This does not preclude you from contacting us again at some future date.

 

If you are enquiring about an exhibition as a potential exhibitor or trader then we will respond to you with details of the exhibition including any fees payable or receivable. We will keep your information for 30 days. If we have not heard further from you by the end of that period we will delete your data. This does not preclude you from contacting us again at some future date.


3.4 Your rights as a data subject


At any point while we are in possession of or processing your personal data, you, the data subject, have the following rights:



All of the above requests will be forwarded on should there be a third party involved (as stated in 3.4 above) in the processing of your personal data.


3.5 Complaints


In the event that you wish to make a complaint about how your personal data is being processed by Silverfox DCC MRC or how your complaint has been handled you have the right to lodge a complaint directly with the supervisory authority and Silverfox DCC MRC data protection representatives [Data Protection Officer (DPO)] / [GDPR Owner].

In order for us to provide you with an email service we need to collect personal data for correspondence purposes. In any event, we are committed to ensuring that the information we collect and use is appropriate for this purpose, and does not constitute an invasion of your privacy. In terms of being contacted for marketing purposes Silverfox DCC MRC would contact you for additional consent.
